How to evaluate an HRMS for an Indian organisation

A neutral evaluation framework for operating fit, India context, implementation effort, security and long-term ownership.

01

Compare workflows, not feature labels

Most HRMS products can list attendance, leave and payroll. Ask vendors to complete a representative journey with your roles, policies, exceptions and approval chain.

  • Use one normal case and one exception case
  • Ask where status and history are visible
  • Confirm what is configuration versus custom development
02

Inspect the operating boundary

Clarify tenant isolation, role derivation, session handling, audit evidence, data export and deletion responsibilities. Marketing claims should be backed by specific controls or published attestations.

  • Separate platform operators from customer identities
  • Review sensitive-data masking
  • Ask how suspended accounts and tenants are invalidated
03

Price the full implementation

Subscription is only one part of cost. Include migration, policy cleanup, integrations, rollout, administrator time and post-launch change ownership.

  • Get scope assumptions in writing
  • Define support response expectations
  • Plan a phased rollout with acceptance gates
Use this as an operating guide

Adapt the checklist to your policies, legal advice, workforce and implementation scope. A product demonstration should prove the representative workflows you identify here.
